As a member of our family owned business,the Procurement Administrative Assistant is responsible for performing confidential, administrative duties relating to organizing and coordinating operational activities of the Procurement team.
Minimum of two (2) years of experience in an administrative support role.
Accounting and/or Procurement experience preferred.
Excellent organization, verbal and written communication skills.
Strong sense of responsibility, ownership and excellent attention to detail.
Proficient with MS Office suite and G-Suite.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Processing of supplier’s pre-qualification information.
Prepare and execute purchase orders.
Maintain vendor files –data entry of responses to inquiries.
Confirm all purchase orders for the purchasing team.
Communicate with the purchasing team any discrepancies of confirmations prior to product arrival.
Preparation of various forms and documents related to bid approvals, tracking documents.
Review requisitions for completeness and accuracy: follow-up on discrepancies with procurement team members or vendors.
Process requisitions into purchase orders using ProducePro and Pro*Act database and update change orders.
Review all purchase orders prior to submitting to the accounting team.
Accurately track all purchase orders for reconciling purposes.
Perform general clerical duties such as maintaining general files, typing, data entry, and completing and processing standard purchase forms.
Assist in answering incoming calls.
Perform related work as required.
